Tree service software that quotes tree by tree, so the right one comes down

Price each tree on its own line, with haul-away and stump grinding as boxes the homeowner ticks, and a captioned photo of every tree on her copy and on the crew's job. Take a deposit when a crane is booked, and let the AI Receptionist answer storm calls while you're up a tree.

Which oak was it, and was the stump in the price?

You walked the yard with her on a Tuesday, pointed at three trees and wrote $4,000 on the back of a card. Two weeks later the crew pulls in and nobody's sure whether the maple comes down or just gets trimmed, whether the stump was in the price, or who keeps the wood. The crane you booked for Monday's oak costs $1,600 whether the homeowner backs out or not. Then a storm comes through Friday night, the phone rings until 2am, and you can't tell which voicemail is the limb through somebody's roof.

Tree by tree

One line per tree, a photo of each, and the stump on its own line

Put each tree in as its own line at your price: remove the pin oak over the garage, remove the dead ash, raise the maple off the roof. Haul-away and stump grinding go in as add-ons, recommended or optional, and the homeowner ticks them from her phone while the total follows. Add your walk-around photos to the estimate with a caption on each, like "Tree 1, pin oak, pink tape," and they print on her copy. Turn the signed estimate into the job and the same photos are on the crew's phones, so nobody guesses which tree had the tape.

  • Tree 1: pin oak over the garage, remove, $2,400
  • Tree 3: silver maple, raise off the roof, $650
  • Haul away the logs, recommended, $375
  • Stump grinding, 54 in at $5, optional
  • Captioned photos on her copy and on the job

Scope in writing

Say what isn't in the price before the stump hole turns into an argument

Say the job into your phone, "36-inch red oak over the back of the house, crane from the street, chip the brush, haul the logs, grind the stump," and add up to 10 photos of the tree and the drop zone. The AI Estimator drafts the lines at your own prices in under a minute: anything on your rate sheet, like a $375 haul-away, goes in at exactly that price, and crew hours at your hourly rate. Every draft also lists what's included, what it assumed and what's not included, so root removal and lawn repair are on paper first. It doesn't size the tree or price the risk, so check every line. Owner only, in the iOS and Android apps.

  • "36-inch red oak, crane from the street"
  • Up to 10 photos of the tree and the drop zone
  • Your rate sheet: $375 haul-away, $150 stump minimum
  • Not included: root removal, lawn repair
  • "Drop the haul-away, they're keeping the wood"

Crane-day deposits

The crane is booked for Monday. So is the deposit.

Plenty of tree companies never ask for a deposit on a $900 removal, and you don't have to. On a crane job, where you've booked a $1,600 crane and operator for the day, set a deposit on the estimate as a fixed amount or a percentage: 25% of a $6,800 removal is $1,700. The homeowner pays it on the page where he signs, by card, ACH or PayPal through your own Stripe, Square or PayPal account, and BestMate adds no fee of its own. The invoice charges only what's left once the crane has gone, and a check from his insurance gets recorded by hand.

  • 25% of $6,800: $1,700 when he signs
  • The $5,100 balance on the invoice
  • No deposit on small jobs, if that's your rule
  • Insurance checks and cash recorded by hand
  • No fee from BestMate on top of your provider's

Storm calls

The night the storm comes through, every call gets answered

On the Pro plan, the AI Receptionist answers in your company's name around the clock, on its own US number that your business line forwards to. It takes the address and what came down where, and asks your own questions, like "Is it on the house?" or "Is it touching a wire?" Switch on emergency handling and a tree through the roof is put through to your phone. Everything else waits in your inbox with a summary and the transcript, cleanup requests wait for you to confirm a time, and new callers are added as leads. A removal with no set price gets "call for a quote," never a made-up number.

  • "A limb came through the porch roof"
  • Put through to your phone at 12:40 AM
  • Your questions: on the house? on a wire?
  • Cleanup requests you confirm in the morning
  • 500 minutes a month on Pro

Crane and crew days

Crane day Monday, three trees Tuesday, the grinder Friday

Put the crane removal on Monday with the whole crew on it and the crane company's arrival time in the notes. Each person gets an email for the jobs they're on and opens them on their phone with the address, your notes and the photos from the estimate. Estimates go on as appointments in the gaps, stump grinding gets its own day once the utilities are marked, and storm calls from the AI Receptionist sit on the web calendar as requests until you confirm a time. It's one calendar on the web and on your phone.

  • Crane removal, full crew, Mon 7:00
  • Two removals and a trim, Tue
  • Estimates as appointments, 3:30 PM
  • Stump grinding on its own day
  • Your calendar in Google, Apple or Outlook

Crew hours

Climbers and groundies clock in, and Friday adds itself up

Each climber and groundworker gets their own login, and you choose whether they see only their own jobs or everyone's. They tap Clock In when the truck leaves the yard and Clock Out at the end of the day, and a forgotten clock-out gets fixed on the web. The timesheet report totals the week for each person to 2 decimals, and the entries go to your bookkeeper as a CSV. It's hours, not a tracker: no GPS, and hours aren't tied to a job.

  • Own login for every climber and groundie
  • Only their own jobs, or everyone's
  • Clock in and out in the mobile app
  • Missed clock-outs fixed on the web
  • Weekly hours per person, entries emailed as a CSV
