See who's on what today, without ringing around

Jobs, booking requests and site visits sit on one calendar with the names of whoever is on them. Regular work repeats on its own, and your crew opens each job to the address, your notes and the photos.

How it works

  1. Put the work on one calendar

Jobs, booking requests and appointments such as site visits all go on the same calendar. On the web you see the month, the week or the day. On your phone you swipe through the days.

  2. Put your people on it

Assign one or more team members to a job or appointment. Each one gets an email, and they see only their own work unless you let them see everyone's.

  3. Set regular work once

In the mobile app, set a job to repeat daily, weekly on the days you pick, monthly or yearly, every so many weeks or months. It fills in the visits ahead for you.

  4. Your crew opens the job on site

The address opens in Apple Maps or Google Maps. Your notes, the photos and the documents are on the job, and the customer is one tap away.

  5. The finished job becomes the invoice

Turn the job into an invoice with the work already filled in, so nobody types the same lines twice.

Who's where today, at a glance

Every job sits on one calendar with the names of the people on it. At 6:45 you can see that Marco has two water heater swaps and a disposal install, and Dana has the Lakeview apartments, then the walkthrough at 2. Nobody rings around to piece the day together, and nothing lives only on a whiteboard in the shop.

Weekly and monthly work that fills itself in

The monthly drain service on the third Thursday, the every-four-weeks clean, the weekly mow. Set the pattern once and BestMate puts the visits on the calendar ahead of time, up to 90 of them, ending on a date or after a set number of visits. A regular customer stops depending on someone remembering.

Your crew has the job, not just the address

Team members open the jobs assigned to them and see the address, your notes and the photos. The gate code is in the notes, the photo of the leak is on the job, and the address opens in their maps app. That's one less call from the curb asking where the shut-off is.

Each person sees their own day

A team member's app shows the work assigned to them, with the address and time for each stop. You choose who can see everyone's schedule, like the office manager. When the job is done, it turns into the invoice with the work filled in.

Your jobs, next to school pickup

Subscribe to your BestMate calendar from Google, Apple or Outlook and your jobs show up next to everything else. It runs one way: you make changes in BestMate, and the feed follows, covering the last 30 days and the next year. Google refreshes subscribed calendars on its own schedule, so a change can take some hours to show there.

Scheduling and Calendar questions

Can I see my jobs in Google Calendar?

Yes. Subscribe to your BestMate calendar from Google, Apple or Outlook, and your jobs and bookings show up right next to your personal events, on your phone and your computer.

How do repeating jobs work? Can I do every four weeks or the first Monday?

Both. Set a job to repeat weekly every four weeks, or monthly on a set weekday such as the first Monday or the third Thursday. Daily and yearly repeats work too. A repeat ends on a date or after a set number of visits, up to 90. Repeating jobs are set up in the mobile app.

How do team members find out about a new job?

They get an email when you assign them. Their app shows the jobs assigned to them, with the address, notes and photos, so they can check the day at any time. There are no push or text alerts to the team, so for a same-morning change, give them a call too.

Can my crew see each other's jobs?

Only if you allow it. By default, team members see the jobs and appointments assigned to them. In their permissions you can let someone see everyone's schedule, which suits an office manager.

Will it stop me double booking?

Your booking page only offers times that are free, so customers can't pick a slot that's already taken. When you add a job yourself there's no clash warning, so check the day or week view first. Each person's initials are on their jobs, so overlaps are easy to spot.
