Your whole day, dispatched before you've had coffee

Schedule Mate reads every new job, picks the tech with the right skills and the shortest drive, and puts the day in an order that makes sense. When a customer cancels or a pipe bursts, it re-plans around it and texts everyone affected. You get the decisions to approve, not a whiteboard to redo.

How it works

  1. A job comes in

From a call the AI Receptionist took, a booking on your website, an estimate a customer just signed or a job you added yourself. It lands in the dispatch queue with the address, the work and how long it usually takes.

  2. It picks the right tech

Schedule Mate checks who has the skill or licence the job needs, who's closest, who has the open time and who's already stretched. It explains the pick in one line, like "EPA certified, 8 min away, free at 1pm".

  3. It orders the day

Each tech's stops go in an order that cuts the driving, keeps the customer's arrival window and leaves room for the long jobs. Your crew opens the app to a day that already makes sense.

  4. It re-plans when the day breaks

A cancellation, a job running long, an emergency at 10am. Schedule Mate proposes the fix: who moves, who slots in, who gets pulled forward. One tap from you and it's done.

  5. Everyone hears about it

Customers get an "on my way" text with a real arrival time, and a heads-up if it moves. Techs get the change on their phone. Nobody has to call round.

The right tech, not the next free one

Not every tech can do every job. Tell BestMate who's licensed for gas, who does refrigerant, who's your best on commercial roofs. Schedule Mate weighs skill first, then drive time, open hours and how full each person's day is, and shows you why it chose. If nobody fits, it says so instead of guessing.

Less driving, more jobs

Booked order is rarely driving order. Schedule Mate sequences each tech's stops so the van isn't crossing town three times, while keeping every arrival window you promised. Most crews win back an hour or more a day, and an hour a day is another job.

A cancellation becomes an opening, not a hole

When a 10am job cancels, Schedule Mate looks for what can fill it: an emergency waiting for a slot, a customer who asked for "the soonest you've got", the next job pulled forward. It drafts the moves and the texts to customers. You approve all of it at once.

A recap at 6pm, tomorrow already planned

At the end of the day you get the numbers: jobs done, drive time saved, re-plans made and anything that needs a decision. Tomorrow is laid out before you put the phone down, so the morning isn't spent on the phone.

AI Dispatch questions

Does it move jobs without asking me?

Only the ones you say it can. You set rules per action: placing a new job in a free slot can be automatic, while moving a job a customer has already been told about can always wait for your OK. Every change is logged with the reason.

How does it know who can do what?

You tag each team member with their skills and licences once (gas, refrigerant, electrical, commercial and so on) and tag your services with what they need. Schedule Mate only assigns a job to someone who matches.

What if I disagree with a pick?

Drag the job to someone else, like you do now. Schedule Mate keeps your change and learns your preferences, such as keeping a customer with the tech they like.

Do my techs need a different app?

No. They use the same BestMate app and see their day in order, with changes pushed to their phone.
