How it works

  1. Start it, or convert it

Start a new invoice, or convert an accepted estimate, a booking or a request. Your price list, default tax and default terms fill in, so most invoices start half done.

  2. Check the lines

Adjust items, discounts, tax, markup, notes and attachments, and choose which columns the customer sees. Discounts and tax can each be a percentage or a fixed amount.

  3. Send it from the job

By text as a link, or by email with a PDF attached. Send yourself a copy too, so there's a record in your own inbox.

  4. They pay from the link

The customer opens it on any device, with no login, and pays by card, ACH or PayPal through the Stripe, Square or PayPal account you've connected.

  5. It keeps itself up to date

You're told when they open it. An online payment marks the invoice paid on its own. Cash and checks you record by hand, so the balance is always right.

Invoice in the driveway, not at the kitchen table

The job is done and the customer is still home. Send the invoice by text before you pull out, they tap Pay Now, and it can be paid before you reach the next call. Compare that with the Sunday-night stack: typing up Tuesday's job from memory, sending it Monday, then hearing the check is in the mail.

Know who owes you before you pick up the phone

The invoice report splits the month into paid, awaiting payment and past due, so you know exactly who to chase and for how much. And you get an email and a push when a customer opens an invoice, so you can tell an unread one from an ignored one before you call.

Repeat work that bills itself

The biweekly clean, the monthly pool visit and the quarterly treatment go out as recurring invoices: daily, weekly, monthly or yearly, at any interval. Each one is emailed to the customer on its own with a Pay Now button, and it runs until a set end or until you turn it off. Set them up in the mobile app.

Most invoices start half done

Convert an accepted estimate, a booking or a request, and the invoice opens with the lines already filled in. Your price list, default tax rate and terms are on it before you touch anything. It goes out with your logo and a PDF copy, so it looks like it came from a company with an office.

A reminder on the due date, sent for you

If an invoice is still unpaid on the day it's due, BestMate emails the customer a reminder with the invoice attached. That's one less awkward "just checking in" message for you to write. It's one email, on the due date. Anything after that is your call.

  • A review ask once they've paid

When an invoice is paid, BestMate can email the customer asking for a review, while the job is still fresh and they're happy with it.

  • Cash and checks count too

Not everyone pays online. Record cash, checks, Zelle or a bank transfer by hand, and the customer's balance matches what actually came in.

Invoices questions

Can customers pay online from the invoice?

Yes. Connect Stripe, Square or PayPal and every invoice gets a Pay Now button. Customers pay by card, ACH or PayPal from the link, on any device and with no login, and the invoice marks itself paid. BestMate adds no fee of its own on top of your provider's.

Does BestMate send payment reminders?

It sends one email reminder, with the invoice, on the due date if it's still unpaid. There are no repeat reminders or text reminders after that, so anything later is a call or a message from you. The invoice report shows what's past due, so you know who that is.

Do recurring invoices charge the customer's card automatically?

No. BestMate doesn't keep cards on file. Each recurring invoice is emailed to the customer on its own with a Pay Now button, and they pay it from the link. Recurring invoices can run daily, weekly, monthly or yearly at any interval, like every 2 weeks or every 3 months, and you set them up in the mobile app.

Can I invoice from my phone?

Yes. Invoices work in the iOS and Android apps and on the web. Create or convert the invoice on site and send it by text as a link or by email with a PDF, before you leave the job.

What if a customer pays part, or pays cash?

Record the payment by hand, whether it's cash, a check, Zelle or a bank transfer, and the balance reflects it. An invoice shows as unpaid until it's paid in full, and anything still owed shows on the customer's balance and in the invoice report.

Can I use my own invoice numbers?

Numbers go up automatically and you can edit them, as long as they're numbers only, up to 10 digits. Letters and prefixes aren't supported. If your last paper invoice was 1041, start BestMate at 1042.

Can I change how the invoice looks?

Yes. Invoices go out with your logo, notes, terms and attachments, plus a PDF copy. You can hide the quantity, the unit price or the line totals on the customer's copy. If you want it to match the invoice you use today, or you have a design in mind, email it to support@gobestmate.com and the team will set it up for you.

Does the customer get a receipt?

Not automatically. You can send a receipt by hand from the BestMate mobile app once the invoice is paid, and the customer can always view and download the invoice PDF from their link. You get a "Payment received" email when an online payment lands.
