House cleaning software for the regulars who keep you in business
Set an every-other-Thursday client up once and BestMate puts the next 26 cleans on the calendar. Each cleaner sees only her own houses, with the lockbox code in the notes, and taps in and out so Friday's hours add up. New clients pick a time on your booking page, even at 10pm.

The cleaning is the easy part. The calendar is the job.
Twenty-two regular clients: some weekly, most every other week, a few monthly. Every week someone texts to swap a day. At 7am a cleaner calls in sick and you're forwarding three lockbox codes from old texts to whoever can cover. Friday night you add up hours from screenshots and match Venmo payments against a notebook. One biweekly client is worth over $4,000 a year. Losing one to a mix-up costs more than the software.
Repeating cleans
Set the biweekly client once. Move one clean without moving the rest.
In the mobile app, set a clean to repeat weekly, every 2 weeks, or monthly on a set weekday like the first Wednesday. It runs until you stop it, ends on a date, or stops after a set number of visits, up to 90. When a client asks to move one Thursday to Wednesday, change that visit and pick this booking only: the rest of the series keeps its day. The week shows on your phone and on the web, and you can subscribe to it from Google, Apple or Outlook.
- Every 2 weeks on Thursday, 8:30
- Weekly regular every Monday
- Monthly deep clean, first Wednesday
- New Year's Eve clean moved to the 30th, this booking only
- Ends after 26 visits, or runs until you stop it
Cleaners and timesheets
Every cleaner knows where she's going, when, and who she's with
Invite each cleaner by email and she gets her own login. Set her to see only the cleans assigned to her, with the address and your notes for the house, and choose area by area what else she can open, so invoices and estimates stay with you. Put two cleaners on a move-out and each gets an email with the job. They tap Clock In and Clock Out on their phones, and the timesheet report totals each cleaner's hours for any dates you pick, so paying them starts from one report instead of a pile of texts.
- Jess sees only her own houses on Thursday
- Two cleaners on the move-out
- Hours per cleaner, emailed to you as a CSV
- A forgotten clock-out fixed on the web
- Deactivate a cleaner who leaves, keep her history
Keys, codes and pets
The lockbox code lives with the clean, not in a text from March
Write the house down once in the clean's internal notes: the lockbox code, where the key goes back, the dog in the yard, the products to use and the room to skip. A repeating clean is one job with a repeat rule, so the notes come with every visit, and the cleaner assigned sees them when she opens it. The client's own record keeps their address, their notes, every clean and invoice, and what they still owe.
- Key tag #14, back in the lockbox
- Biscuit in the backyard, keep the gate shut
- Unscented products only
- Skip the office, it's off limits
- What the client owes, on their record
Booking page
New clients book the first clean while you're cleaning
Put your booking page link on your Google profile and in your text replies. A new client enters the address, describes the house in her own words and picks one of your next open times, with no account to create. Times come from your hours, skip what's already booked and start at least 12 hours out. The request lands in BestMate with the client added as a lead, you get an email, and you confirm it or send a quote first.
- Deep clean, 3 bed / 2 bath, described in her own words
- Only your open times, at least 12 hours out
- No account or password for the client
- Request email to you, client added as a lead
Paid per clean
Regulars billed on their own, one-off cleans paid from the text
Put a weekly or biweekly client on a recurring invoice in the mobile app and BestMate emails it every week or every 2 weeks on its own, each one with a Pay Now link. For a move-out or a one-off deep clean, text the invoice as the team leaves and the client pays by card, ACH or PayPal before you reach the next house. The invoice marks itself paid. Cash, checks and Zelle get recorded by hand, so every client's balance is right without the notebook.
- Biweekly clean plus the fridge, $200, paid from the link
- Weekly regular on a recurring invoice
- Email reminder on the due date if unpaid
- Zelle payment recorded by hand
- Each client's balance on their record
Keep the regulars. Lose the notebook.
