Know what you actually made this month

How it works

  1. Log it at the counter

Add an expense with a name, the date, the amount, one of 15 categories and a short description. Attach the receipt by taking a photo, picking one from your gallery or adding a file.

  2. Let the crew log theirs

Team members add what they spend themselves, receipt included. You choose whether each person sees only their own expenses or everyone's, and whether they can edit or delete them.

  3. Check profit and loss

Pick the dates and see income, cost of goods sold, gross profit, operating expenses and net profit. It uses what you invoiced in BestMate, so there's nothing to import.

  4. Send it to your accountant

Email the expense report to yourself or your accountant as a CSV that opens in any spreadsheet, one row per expense with its date, name, category and total.

Net profit, not a guess from the bank balance

A busy June can look great in the bank account until the supply house bill clears and next month's deposits are spent. Profit and loss shows income, cost of goods sold, gross profit, operating expenses and net profit for the dates you pick, so you know whether the month paid after materials, fuel and the crew.

The receipt goes with the expense

Photograph the receipt at the supply house counter and it's attached to the expense, not fading in the glovebox until April. One receipt per expense, up to 10 MB, from the camera, your gallery or a file. When the accountant asks about one, search by name, category or amount.

Sorted for tax time

Every expense goes into one of 15 categories, like Materials, Fuel and Mileage, Equipment and Labor. The expense report totals spending by category for any period, so you can see what fuel really cost you this quarter, and your accountant gets a sorted list instead of a shoebox.

A file your accountant can open

Email the expense report as a CSV and it opens in Excel or Google Sheets, one row per expense with the date, name, category, total and description. No retyping from faded paper, and the receipts stay attached in BestMate if they need to see one.
