How it works
Build it on site
Pull lines from your price list, add discounts, tax, markup, notes, terms and photos. Or describe the job and add a few photos, and the AI Estimator drafts it for you to check, in the mobile app.
Give them options
Send one scope, or one with add-ons they can tick. Mark each line required, recommended or optional, so the customer sees what has to be done and what's extra.
Send it
By text as a link, or by email with a PDF attached. It opens on any phone or computer, with no login and no app to download.
They sign and pay the deposit
The customer ticks their add-ons, signs by drawing or typing their name, and pays the deposit on the same page. Standing in their kitchen? Hand them your phone and they sign there.
Turn it into the work
You're told when they open it and when they accept. Convert it to a job or an invoice, and the form opens with every line already filled in.
Quote it in the driveway, not at 9pm
Most jobs go to whoever answers first with a real price. Build the estimate on your phone while the measurements are still in your head: lines come from your price list, tax fills in, your logo and terms are already on it. Send it before you start the truck, and the customer gets a clean, branded quote with a PDF, the kind that makes a one-truck outfit look like a company with an office.
From quote to invoice without retyping
When the customer accepts, convert the estimate into an invoice or a job and the form opens with every line already filled in. Check it, save it, send it. Nothing gets copied from one screen to another, and nothing gets lost on the way.
A single price gets a yes or a no. Options get a "which one"
Mark each line required, recommended or optional. Required work is locked in, and the trim, the ceiling repaint or the gutter guards sit there for the customer to tick, with the total moving as they do. The job grows without you selling it across the kitchen counter, and once they accept, their picks are locked, so nobody argues later about what was in the price.
Most quotes don't get a no. They go quiet
You get a notification the moment the customer opens the estimate, so you can call at dinner time while it's still on their screen, not a week later when they've had three other bids. Repeat opens are held back, so you aren't pinged every time they look again. And you're told when they accept, so you know when to order materials.
Deposits, and only the details you want them to see
Ask for a deposit as a fixed amount or a percentage, and the customer pays it by Stripe, Square or PayPal checkout on the same page they sign. Materials are covered before you order them, and a customer with money down is a customer who's serious. You also choose what their copy shows: hide the quantity, the unit price or the line totals, and send a clean list of the work with one price at the bottom.
How different trades use it
- RoofingA tear-off and re-roof goes out with a 25% deposit on the estimate, so the shingles and underlayment are paid for before they're delivered.
- PaintingLay out walls, trim and ceilings as one quote, with the ceilings as an option the homeowner can tick.
- LandscapingSend the paver patio with low-voltage lighting and new planting beds as add-ons, plus a deposit to cover the pavers.
- HVACQuote the system replacement with a smart thermostat or an air purifier as optional extras the homeowner can tick.
- HandymanWalk the punch list with the homeowner and get the estimate signed on your phone before you leave the kitchen.
- ElectricalSend the panel upgrade with one price per line and the quantities hidden, plus a deposit before you pull the permit.
Estimates and Quotes questions
Can customers sign an estimate online?
Yes. They open it from the link in your text or email, on any phone or computer, and sign by drawing or typing their name. There's no account to create and no app to download. If you're with them in person, they can sign on your phone instead.
How do deposits on estimates work?
Set the deposit as a fixed amount or a percentage of the estimate. The customer pays it through Stripe, Square or PayPal checkout on the same page where they sign, so connect one of those accounts first. When you invoice the job, the customer is charged the balance minus what they've already paid.
Can I give good, better, best options?
Yes. Lay the estimate out with add-ons the customer can tick, and mark each line required, recommended or optional. Want to show two different versions of the job? Send two estimates to the same customer. The total follows their picks, and once they accept, their choices are locked.
Can I hide my prices or quantities from the customer?
Yes. On the customer's copy you can hide the quantity, the unit price or the line totals, in any mix. A common setup is a clear list of the work with one price at the bottom.
Can I use my own estimate template?
Yes. Every estimate goes out on a clean layout with your logo, notes, terms, photos and attachments, plus a PDF copy. If you want it to look like the template you use today, or you have a design in mind, email it to support@gobestmate.com and the team will set it up for you.
Can my team send estimates?
Yes, if you give them permission. You decide for each person whether they can create, view, edit or delete estimates, in Teams and Permissions. The AI Estimator is for the business owner only.
Is an estimate the same as a quote?
Most trades use the words for the same thing: the price you send before the work starts. In BestMate it's one document, called an estimate, and it can carry options, a signature and a deposit. Once accepted, it turns into the job or the invoice.
