Pest control software for quarterly service and the calls in between
Set a quarterly plan once and BestMate puts every visit on the calendar, on the 2nd Wednesday, assigned to the tech who knows the yard. On the Pro plan the AI Receptionist picks up the 7pm wasp call and leaves you a booking request. Sell the plan at the front door, and bill each visit before the truck leaves the street.

Recurring revenue only works if every visit happens and gets billed
Four hundred quarterly accounts is 1,600 visits a year, about 32 a week, before a single new call. One missed visit is a customer who sees the ants come back and cancels. One visit that never gets invoiced is $135 you'll never chase. And the phone doesn't stop in between: wasps in June, mosquitoes all summer, mice the first cold week of October.
Quarterly plans
Four visits a year, set once, on the same Wednesday
In the mobile app, set the visit to repeat every 3 months on a set weekday like the 2nd Wednesday, or on a date, and end it on a date or after a number of visits, up to 90. Every visit lands on the calendar for years ahead. Move one when the customer is away and the rest stay put. Summer mosquito service is its own job, repeating monthly from May and ending on September 30.
- Quarterly perimeter service, 2nd Wednesday
- Monthly mosquito service, May to September
- Yearly termite inspection
- Re-treatment visit between quarters
- One visit moved when the customer is away
The 7pm wasp call
The 7pm wasp call gets answered, not a voicemail
Wasps in June, mosquitoes all summer, mice the first cold week of October: the calls come while you're in a crawl space or at dinner. On the Pro plan, the AI Receptionist answers on its own US number, around the clock, from the services and prices you've set. It asks your questions, takes the address, and leaves a booking request with the caller's preferred 2-hour window for you to confirm. Switch on emergencies and an urgent call can be put through to your phone. You get a push, a summary and the transcript.
- Wasp nest over the back door, kids at home
- Ants back in the kitchen, asked for Monday
- Mice in the garage after the first cold night
- Never quotes a price you haven't set
- Transcript and summary, no recording
Initial treatment and plan
Sell the first treatment and the plan at the front door
Walk the outside, then put the initial interior and exterior treatment and the quarterly visit on one estimate, with the bait stations recommended and the exclusion work as an option the homeowner can tick. They sign on your phone at the door, or from the text link that evening. You're told when they open it and when they accept, and the accepted estimate becomes the first job or invoice with every line filled in. Photos of the gaps can go on the estimate too.
- Initial interior and exterior treatment, $199
- Quarterly perimeter service, $135 a visit
- 2 rodent bait stations, recommended
- Garage exclusion, optional, $425
- Photos of the entry points attached
Every visit billed
Bill every visit the day it's done
After each visit, send the invoice from your phone before the next stop, or put the account on a recurring invoice that goes out every 3 months on its own. Add the wasp nest you found on the spot as its own line. The customer pays by card, ACH or PayPal from the link, the invoice marks itself paid, and an email reminder goes out on the due date if it's still open.
- Quarterly visit, $135, invoiced from the truck
- Wasp nest found during the visit, added on
- Recurring invoice every 3 months
- Mosquito service billed monthly in summer
- Check recorded by hand
Techs and their stops
Each tech gets their stops, with the gate code and the dog
Assign a visit to a tech and they get an email with the time and address. They sign in with their own login and, if you set it, see only the jobs assigned to them, with your notes and photos: the side gate code, the Lab that's out until 10, what you treated last time. You choose area by area what they can view or change. Deactivate a tech who leaves and their history stays with the business.
- Own login for each tech
- Only the jobs assigned to them
- Gate code and pets in your notes
- Assignment emails with the time and address
- History kept when a tech leaves
Every quarterly visit on the calendar, every one billed
