How it works
Do the work as usual
Send estimates, invoice jobs, log expenses and clock in. There's nothing extra to type, because every report is built from what's already in BestMate.
Open Reports and pick the dates
This month, last quarter, the storm week or the whole year. Every report works for any date range you choose.
Narrow it down
Look at one customer, or only past-due invoices, or only estimates that are still open. Filters change with the report.
Send it on
Email the report as a CSV to yourself, your bookkeeper or your accountant. It opens in Excel or Google Sheets.
Profit and loss: what you actually made
Income from what you invoiced, minus the cost of the parts and materials on those invoices, minus every expense you logged. Five lines, from income down to net profit, for any dates. It's the number the bank balance can't tell you, because the bank balance doesn't know about the supply house bill that hasn't cleared.
Invoices: who owes you, and who's late
Your invoiced money split three ways: paid, awaiting payment and past due. Filter to one customer before you call them, or to past due before you start chasing. The invoices behind each number are listed underneath.
Estimates: the work you've quoted but not won yet
See the value of estimates that are still open, the ones customers have accepted and the ones already turned into jobs or invoices. The open list is your call list: the $8,400 kitchen quote from three weeks ago is worth a phone call today.
Expenses: where the money went
Spending totalled across 15 categories, from Materials and Fuel to Labor and Insurance. See what fuel really cost this quarter, and hand your accountant the totals already sorted for tax time.
Requests: is the phone ringing?
Count the booking and website requests that came in, how many are still open and how many you turned into work. A slow month shows up here before it shows up in the bank.
Timesheets: the crew's hours
Every team member's total hours for the dates you pick, and the overall total, to the hundredth of an hour. Ready to copy into payroll.
The dashboard, every morning
Open BestMate and the dashboard has this week's and this month's totals, unpaid invoices and the amount outstanding, before you've looked at a single report.
One customer, all their numbers
Filter invoices, estimates and requests to a single customer to see everything you've quoted them, what they've paid and what's still open. Handy before a big job, and before a hard conversation.
A file your accountant can open
Invoices, estimates, requests, expenses and timesheets can all be emailed as a CSV. No retyping, no exporting from three different apps.
How different trades use it
- HVACHVAC owners filter open estimates to the replacement quotes and call the biggest ones before the season ends.
- RoofingRoofers see storm-month profit after materials and crew, not just a busy bank account.
- PlumbingPlumbers check past-due invoices every Monday and chase the two that matter.
- House cleaningCleaning owners watch the requests report to see whether the new flyers are bringing in bookings.
- LandscapingLandscapers compare fuel and labor against what they invoiced, month by month.
- ElectricalElectricians send their accountant the expense and invoice CSVs at quarter end, already sorted.
Reports questions
Which reports are there?
Six: Profit and Loss, Invoices, Estimates, Requests, Expenses and Timesheets, on the iOS and Android apps and on the web. The dashboard also shows this week's and this month's totals and what's outstanding.
Do I have to enter anything for the reports?
No. Every report is built from the estimates, invoices, expenses, requests and timesheets already in BestMate. If you set a cost price on the items you sell, profit and loss also shows cost of goods sold.
Can I send reports to my accountant?
Yes. Invoices, Estimates, Requests, Expenses and Timesheets can be emailed as a CSV that opens in Excel or Google Sheets. Profit and loss is on screen.
Can I see the numbers for one customer?
Yes. Invoices, Estimates and Requests can be filtered to a single customer, as well as by date and status.
Are there charts?
Reports show the numbers and the records behind them, in tables. The pictures on this page are drawings of those numbers.
