Flooring software that turns your room measurements into a paid material deposit

Type in your square feet, send the flooring, the install, the tear-out and the stairs as lines she can read and tick, and take the deposit for the flooring on the same page she signs, before you place the order.

Three flooring quotes. Only one says what's under the carpet.

You measured the living room, dining room, kitchen and hall on Saturday, 700 square feet, and promised a number Monday. Sunday night you're still at the kitchen table adding up cartons, the carpet tear-out and three transitions. Her other two quotes say $7.40 and $9.10 a square foot, and neither says whether the stairs, the quarter round or the dip in the kitchen floor are in. Then you put 33 cartons of LVP on your own card before she's paid a dollar.

Square-foot quotes

The floor, the install and the tear-out on their own lines

Put the flooring in by the carton, the install by the square foot you'll lay, and the tear-out, floor prep and transitions as required lines. Mark the quarter round recommended so it starts ticked, and put the stairs in as optional. She ticks what she wants from the link, the total follows her, and her picks lock when she signs. When she lays your quote next to the other two, she can see the tear-out, the prep and the trim are in yours, not waiting to turn into a change order.

  • LVP, 33 cartons at $82.50
  • Install, 700 sq ft at $2.75
  • Carpet and pad out and hauled away, 456 sq ft
  • Quarter round, 190 ft, recommended
  • 13 stair treads with nosing, optional

Material deposit

The flooring is paid for before you order it

Set the deposit to cover the flooring, $2,722.50 as a fixed amount, or use a percentage, within your state's rules. She pays it on the same page she signs, by card, ACH or PayPal through your own Stripe, Square or PayPal, and you place the order the next morning with her money instead of your card. When the install is done, the invoice charges only what's left, and a check handed over on the last day is recorded by hand so the balance stays right.

  • Deposit set to the flooring line, $2,722.50
  • Paid on the page she signs
  • Flooring ordered the next morning
  • Balance of $3,231 on the invoice
  • No fee from BestMate on top of your provider's

Scope in writing

Say what's assumed about the subfloor before the carpet comes up

Say "700 square feet of LVP, living, dining, kitchen and hall, carpet and pad out, low spot in the kitchen, three transitions" and add photos of the rooms. The AI Estimator drafts the lines at your own prices, using your install and tear-out rates exactly when they're on your rate sheet, and writes the scope: what's included, what it assumed and what's not included. It doesn't measure rooms or count cartons, so the square feet are yours. Copy the lines that matter into the estimate notes, like the subfloor repair that isn't in the price.

  • "700 sq ft LVP, carpet out, 3 transitions"
  • Up to 10 photos of the rooms
  • Rate-sheet prices like $2.75 a sq ft, used exactly
  • Assumed: subfloor flat within 3/16 in. over 10 ft
  • Owner only, in the iOS and Android apps

Install days

Delivery Monday, acclimate, install Wednesday and Thursday

Put the delivery on Monday as an appointment, so the days the flooring sits in her dining room to acclimate are on the calendar before anyone books over them. The install goes on Wednesday and Thursday with Tyler and Luis on it, and Dev's refinish, sand day and two coats, sits beside it. Each installer gets an email and opens the job on their phone with the address, your notes about the cartons and the dog, and the photos. Measures go on as appointments between installs.

  • Delivery, then days to acclimate
  • LVP install, two days, two installers
  • Refinish: sand and stain, then two coats
  • Measure for a kitchen tile job
  • Your calendar in Google, Apple or Outlook

Subfloor surprises

Soft subfloor under the carpet? Text her the photo and the price

The carpet comes up Wednesday morning and the plywood by the slider is soft. Text her from BestMate with the photo, send a second estimate for the two sheets, and she signs it from her phone at work before you cut anything out. Her texts and both estimates sit on her record, so on Thursday nobody wonders what the $340 was for. It's a second estimate, not a change-order form, and it's in writing either way.

  • Photos both ways, saved with the thread
  • A push when she texts back
  • Second estimate signed from the link
  • Texts stay off your personal cell
  • The same inbox on your phone and the web
